- Your tax information and documents are never shared with advertising platforms. Advertising and analytics tools only receive anonymous website usage signals — and only after you consent.
- Your client and tax data stays in Switzerland and Europe. It is stored in HubSpot’s EU data center, with Swiss providers for tax calculation and invoicing, and in Google Workspace with Europe selected as the data region.
- Your information is protected. All data transmission is encrypted, access is limited to the advisors working on your case, and we treat your information with strict professional confidentiality.

- Through forms on our website (powered by Gravity Forms, processed on our own web server)
- Via HubSpot call scheduling, live chat, and CRM tools
- Through our client portal at my.taxolution.ch, including documents you upload there (see Section 11)
- By email or phone when you contact us directly
- Automatically through cookies, tracking pixels, and analytics scripts, after you have given consent
4. Why We Process Your Data
Your personal data is used for the following purposes:
- To respond to your contact requests or inquiries
- To provide our tax advisory services, including preparation and filing of tax returns
- To manage consultations, client onboarding, and the client portal
- To analyze user behavior and improve our website’s performance
- To measure advertising performance and display relevant advertisements via remarketing tools

6. Cookies and Consent
When you first visit our website, a cookie banner (powered by HubSpot) asks for your consent in three categories: analytics, advertisement, and functionality. Until you give consent, no analytics or advertising cookies are set: Google services receive only aggregated, cookieless signals (Google Consent Mode v2), and Meta, LinkedIn, and Hotjar remain fully disabled. If you decline, this remains the case for your entire visit.

7. Legal Basis for Processing
We process your data in accordance with the Swiss Federal Act on Data Protection (FADP). Where the EU General Data Protection Regulation (GDPR) applies to you, processing is based on one or more of the following lawful grounds:
- Your consent (e.g., cookies and tracking, Art. 6(1)(a) GDPR)
- Performance of a contract or pre-contractual request (Art. 6(1)(b) GDPR)
- Compliance with legal obligations (Art. 6(1)(c) GDPR)
- Our legitimate interests, such as securing our website and improving our services (Art. 6(1)(f) GDPR)
8. International Data Transfers
Your tax and client data itself is processed and stored in Switzerland and the European Union: in HubSpot’s EU data center, with Swiss providers (bexio, Taxware), and in Google Workspace with Europe selected as the data region. Transfers to the United States primarily concern website analytics, advertising, and infrastructure providers. These transfers rely on the Swiss–U.S. Data Privacy Framework (in force since September 15, 2024), under which Google LLC, Meta Platforms Inc., HubSpot Inc., and Twilio Inc. (SendGrid) are certified. Where a provider is not certified, we rely on Standard Contractual Clauses or equivalent safeguards in accordance with applicable data protection law.
9. Data Retention
We retain data only as long as necessary for its intended purpose:
- Inquiry and contact data: until the inquiry is resolved or the business relationship ends
- Client files, tax records, and invoices: 10 years (Art. 958f Swiss Code of Obligations)
- Analytics data: up to 14 months
- Portal login links: valid for approximately 20 minutes, then expired
- Other legal/compliance data: as required by Swiss or EU law
10. Your Rights
You have the following rights under the Swiss FADP and, where applicable, the GDPR:
- Access your personal data
- Request correction or deletion
- Restrict or object to processing
- Withdraw your consent at any time
- Receive a copy of your data (data portability)

11. Tax Client Portal (my.taxolution.ch)
Our client portal, available at my.taxolution.ch, is a secure online platform designed to help our clients manage their tax matters with greater convenience and efficiency.
The portal allows you to:
- View and confirm your personal tax data relevant to Swiss tax returns
- Engage in structured onboarding for tax return preparation
- Upload and exchange tax documents securely
- Participate in tax planning and compliance workflows
- Schedule appointments and communicate directly with our advisors
Your client data is primarily stored in our CRM system, HubSpot (EU data center), from which the portal securely retrieves and displays your information. Documents you upload or exchange with us are stored in our Google Workspace environment (Google Drive, with Europe selected as the data region). The portal itself stores only the data needed to operate your account: your email address, an internal client reference, short-lived encrypted login tokens, and technical logs. All data transmission is encrypted, and user access is strictly permission-controlled.

Any data you submit or access through the portal is handled in accordance with this Privacy Policy and is protected under applicable data protection laws, including the Swiss Federal Act on Data Protection (FADP) and the EU General Data Protection Regulation (GDPR).
